Case Study - ERP Needs Analysis and RFP

CLIENT OVERVIEW

Our client specialises in the design, development, and manufacture of electronic components for sectors including HVAC systems, building automation, hazardous environment communication, and construction. With around 30 users across functions such as payroll, HR, finance, supply planning, MRP, and inventory management, our client had been operating with a bespoke ERP system that no longer supported its evolving business needs.

THE CHALLENGE

Our client’s custom-built ERP platform was increasingly unable to meet the operational demands of the business, creating inefficiencies and limiting scalability. The organisation required a clear understanding of its ERP options, including cost, fit, and feasibility, to support future business growth while also managing budget constraints.

APPROACH

Cravern was engaged to assess client’s current business processes, identify operational constraints, and define requirements for a modern ERP solution. The team conducted a comprehensive review of core functions, highlighting key risks and limitations of the existing system. Based on this analysis, Cravern shortlisted suitable ERP vendors and prepared a tailored RFP that captured our client’s technical and functional requirements.

SOLUTION

A detailed RFP package was developed, along with a full cost analysis and implementation budget for each shortlisted ERP solution. This enabled our client to fully understand the implications of an ERP upgrade, including investment requirements and implementation approaches.

IMPACT

Although our client ultimately chose not to proceed with a full ERP implementation at the time, the project delivered a well-defined roadmap, detailed RFP documentation, and critical insights to support future decision-making. This informed approach allowed the business to make tactical improvements to its existing systems while maintaining a clear view of its long-term ERP options.
